How to book a reliable airport transfer in Newcastle

A smooth airport transfer is decided before you leave the house: by the details you give when you book and by the vehicle you choose. This guide covers what to have ready and what to ask for when you book a pre-booked transfer to or from Newcastle Airport.

1. Give plenty of notice

As early as you like. Most customers book a few days ahead, and we take bookings months in advance for events and business travel. For airport runs we recommend at least 12 hours so we can allocate the right vehicle and driver. We will always try to help at shorter notice, but the more time we have, the better the match.

2. Have these details ready

  • Your pickup address and your destination, including the terminal if you are being collected from the airport.
  • The date and time you need to be at the airport, or your flight time if you are arriving.
  • Your flight number, so we can track the flight and move the pickup if it lands early or late.
  • How many passengers are travelling and how much luggage you have.
  • A mobile number we can reach you on, and any special requirements such as a child seat.

3. Choose the right vehicle

Each vehicle class has a stated passenger and luggage capacity. A CW X standard saloon takes three passengers and two medium suitcases. A CW Estate takes four passengers and up to four large suitcases. For larger groups, CW XL seats six and CW XXL seats seven, each with room for their luggage. Choose for the people and bags you actually have: it is better to size up than to arrive and find the cases don't fit.

4. Ask for meet and greet if you want it

If you are arriving at Newcastle Airport and would like your driver to meet you in arrivals with a name board, ask when you book. It is useful for first-time visitors and for anyone collecting a guest.

5. Plan departures backwards

For a departure, work back from your check-in time rather than from the flight. Tell us your flight time and we will suggest a pickup time that builds in a sensible buffer for the route and the time of day.
